Chat Replies for Travel Agencies and Visa Consultants
Answer package prices in seconds, qualify travel leads with five questions, and keep visa answers tied to official, dated sources.

In this article
WhatsApp automation for a travel agency or visa consultant should do three jobs: answer package prices and published information in seconds, collect the few details you need to quote (destination, dates, travellers, passport status, budget), and hand anything about visa rules to a consultant who checks the official source. The one thing it must not do is state visa requirements from memory, because embassies change fees and rules and a confident wrong answer can cost a client their trip.
Key takeaways
- Most travel enquiries arrive with almost no detail ("Thailand package koto?"). Five qualification questions turn them into quotable leads.
- Keep package prices in one sheet with a valid-until date on every row, so neither your team nor a bot quotes an expired fare.
- Visa answers should only repeat your own published, dated checklist and link to the official page. Everything else goes to a consultant.
- Don't collect passport scans or ID numbers in chat; WhatsApp's policy tells businesses not to ask for sensitive identifiers.
- On WhatsApp, follow-ups after 24 hours of silence need an approved message template.
Why do travel enquiries go cold so fast?
Because the customer is asking several agencies at once. A family planning Eid holidays in Bangkok can message four or five pages from one Facebook search in ten minutes, and the first one to send a clear price with dates usually gets the conversation. A reply three hours later lands after they've already asked the competitor for a passport checklist.
Travel is also an evening and weekend purchase. The family decides over dinner, the husband messages at 10:30 pm, and the agency in Paltan opens at 10 am. By then the enquiry has been answered elsewhere. We'd go further than most advice here: for a small agency, the night hours matter more than adding another staff member during the day.
The fix isn't to reply faster with nothing. "Hi, please call us" is a reply, but it moves no one closer to booking. The first message should give a real starting price and ask for the details you need.
Which questions qualify a travel lead?
Five questions do most of the work: where they want to go, when, how many travellers (with children's ages), whether everyone has a valid passport, and a rough budget. Together they tell you whether you can quote today, which package fits, and whether visa timing makes the trip possible at all.
| Question | Why you need it | Example answer | What it changes |
|---|---|---|---|
| Where to? | Picks the package and whether a visa is involved | "Bali, maybe Thailand" | Which sheet rows apply; visa or visa-on-arrival |
| When, and how flexible? | Fares and hotel rates move with dates | "Last week of December, 5 nights" | Peak-season pricing; whether visa timing works |
| How many travellers? Children's ages? | Room type and child pricing | "2 adults, kids 4 and 9" | Twin vs family room; child fares |
| Does everyone have a passport, valid for long enough? | No passport, no trip on these dates | "Wife's passport expires in March" | May need renewal first; changes the timeline |
| Rough budget per person? | Stops you quoting 5-star to a 3-star budget | "Around ৳80,000 each" | Hotel grade and airline choice |
| Have you been refused a visa before? | Affects how a consultant handles the case | "UK refused in 2023" | Senior consultant, not the bot or a junior |
Ask them in one message, not one at a time. Six back-and-forth messages over an evening lose people. A single list ("To quote you, I need: 1. dates, 2. number of travellers and children's ages, 3. passport expiry dates, 4. rough budget") is easy to answer in one go, even on a phone.
The last row isn't one of the five, and it's the one most agencies skip. A previous refusal is exactly the kind of detail a consultant needs before anyone promises anything.

How do you put package prices where a bot can use them?
Put every package in one sheet: one row per package with destination, nights, inclusions, price per person on a twin-share basis, child price, single supplement and a valid-until date. A bot or a new staff member can then quote from it accurately, and expired rows are easy to spot and remove.
A few columns save most of the mistakes:
- Valid from and valid until. Airfares change weekly. A Cox's Bazar package priced in August is wrong by December. If the row has expired, it shouldn't be quoted.
- "From" price and what it assumes. "From ৳42,500 per person, twin share, departures Sunday to Wednesday" is clear. A bare ৳42,500 invites an argument when the Friday departure costs more.
- Inclusions and exclusions in plain words. Visa fee included or not? Airport transfers? Travel insurance? These are the questions that follow the price.
- Visa type column. "Visa required", "e-visa", "visa on arrival per our last check on [date]". It reminds the reader that this is a fact that needs checking.

Why should a bot never answer visa rules from memory?
Visa fees, document lists and processing times are set by governments and change without warning. A general AI model may repeat a figure that was right two years ago. Your bot should only repeat the checklist you've published and dated, link to the official page, and pass the case to a consultant for anything specific.
Two examples from official sources show how quickly figures move. The EU raised the standard Schengen visa fee for adults to €90 from 11 June 2024, and the European Commission's guidance says you can apply no earlier than six months and at least 15 days before travel, with a normal processing time of 15 days. The UK's Standard Visitor visa costs £135 on GOV.UK as checked on 8 October 2026, with a decision usually within three weeks. Neither number will stay fixed forever.

So in practice:
- Write your own checklist page for each visa you handle, with the date you last checked it and a link to the embassy or official page.
- Add those pages to the bot's knowledge, and nothing else about visas.
- Run the bot in Strict mode, so it answers only from that information and hands over when unsure.
- Have one person re-check each checklist monthly, and immediately after any announcement.
Visa decisions also belong to the embassy, not to you. No reply, from a bot or a person, should say or imply that a visa is guaranteed.
What documents should you ask for in chat, and what should you keep out?
Send your published document checklist in chat, but collect passports, bank statements and ID documents through a secure route such as an office visit or your own upload system. WhatsApp's Business Messaging Policy tells businesses not to ask people to share sensitive identifiers like personal ID numbers in chat, and passport scans are the obvious case.
Chat is good for the list itself: "For a Schengen tourist visa we'll need your passport, recent bank statements, a job letter or trade licence, and hotel and flight bookings. Full checklist: [link]." It is not a good filing cabinet. A shared inbox where three agents can scroll back through a client's bank statements is a privacy problem waiting to happen, wherever you're based.
Internal notes on the conversation should stay factual: "passport expires 14 March, needs renewal before UK application". Not the passport number.
When should you follow up a travel enquiry?
Reply with a starting price immediately, send a full quote the same day, and follow up once within 24 hours of the customer's last message. After that, a WhatsApp Business Platform follow-up needs a Meta-approved template, so make your one later follow-up count, ideally tied to a real deadline like a fare expiry.
An illustrative rhythm for a Bali enquiry that arrives at 10:40 pm:
- 10:40 pm: starting price for the 5-night package and the five quote questions, sent in seconds.
- 10 am next day: a consultant picks up the labelled conversation and sends a dated quote.
- Same evening: one follow-up if they haven't replied ("These fares are valid until Sunday").
- After 24 hours of silence: an approved template, only if you have something new to say, like a price drop or an expiring fare.
Messenger and Instagram have their own 24-hour standard messaging window, too. Our explainer on the 24-hour messaging window covers the details for each channel.
Where WisperBot fits
WisperBot, a reply-first inbox for WhatsApp, Instagram, Messenger and website chat, handles the first part well: a Smart Bot answers package questions from your sheet and your published checklists in seconds, including at 10:40 pm, and in Strict mode it hands over instead of guessing. Your team then labels, assigns and adds notes to each lead in one inbox. It's also how Telzen, the travel eSIM business in our own group, handles traveller questions; our write-up on how we run customer messaging for our eSIM business shows which questions the bot answers and which always go to a person. See how this works for sales and lead generation.
It won't book flights, check live fares or file visa applications, and it doesn't replace a consultant's judgement on a difficult case. If you sell high-value, complex itineraries to a small number of clients, you may not need a bot at all. The same qualification approach works for property (see qualifying real estate leads on WhatsApp) and for agencies that also run IELTS or language classes, where our guide to answering admission questions for coaching centres covers fees, batches and demo classes.
Frequently asked questions
Can a chatbot answer visa questions for my agency?
Only by repeating checklists you have written, dated and linked to official sources. It should never state fees, processing times or eligibility from general knowledge, because these change. Anything about a specific case, a previous refusal or an unusual situation should go straight to a consultant.
Is it safe to collect passport copies on WhatsApp?
We'd avoid it. WhatsApp's Business Messaging Policy tells businesses not to ask people to share sensitive identifiers in chat, and passport scans sitting in a shared inbox are a privacy risk. Use chat to send the checklist, then collect documents in person or through a secure upload system you control.
What should the first reply to a travel enquiry say?
A real starting price, what it includes, and the details you need for an exact quote: dates, number of travellers with children's ages, passport expiry and budget. Put the questions in one numbered message so the customer can answer everything at once instead of over six separate replies.
How often should travel package prices be updated?
Whenever a fare or hotel rate changes, and at minimum every week in peak seasons like Eid, winter holidays and December. Give every row a valid-until date so expired prices are obvious. A bot quoting last month's fare creates an awkward conversation with an already interested customer.
How much does WhatsApp automation cost for a small travel agency?
WisperBot has a free plan with 100 AI replies a month, Starter at $15 for 750 and Growth at $39 for 3,000, as of 8 October 2026, with a 14-day trial on paid plans. Meta's WhatsApp fees, where they apply, are separate. Current details are on the pricing page.
